FAQ: Steps to take in Inspire when an Employee leaves.
When an employee leaves your organization, there are several steps to take in Inspire to limit access.
- Step 1: If the employee has any recognition points to redeem, please have them redeem all points before their last day.
Note: Not all organizations utilize points with Recognition. If your organizations doesn't use points with Inspire's Recognition module- disregard this step.
- Step 2: If the employee is the owner of any Team Objectives. Have them reassign ownership to another employee before their last day.
- Step 3: If there are any Key Results linked either by the employee or their teammates, ensure that all key results are un-linked before their last day.
- Step 4: Once all Ownership and Key Results are resolved- Admins are able to Archive the user in the Administration module.
Navigate to Administration- OrgManagement- Users- Click the pencil icon to edit.
- Select Delete or Archive
- Select Archive
- Enter the Effective Archive Date
- Type: ARCHIVE (All CAPS)
- Select -I understand, archive this user!
Note: If the employee has data in Inspire- it is best practice to Archive vs. Delete. If you delete- all the information stored in Inspire will be deleted.
Note: If your organization utilizes Inspire's SFTP option- Users will be auto archived once the new file is received by Inspire. This step is only for Organizations using the manual Add/Edit Users Option.
