Pausing or Archiving a Budget

Once a budget is published, it can not be edited or deleted. A Recognition Administrator does have the option to pause a budget, which would temporarily freeze a budget, or archive a budget, which would remove all unused points in the budget and return them to the master budget. 

To publish or archive a budget, follow the instructions below. 

Note: Only Recognition Administrators are able to pause or archive a budget. 

How to Pause a Budget

To temporarily restrict users from giving points in a published budget, a Recognition Administrator can pause the budget. When a budget is paused, points allocated from the budget will be frozen, and all users with allocated points will receive a notification that the points will be frozen until the budget is resumed. 

1. Click the Modules menu and select Administration. 

2. Expand the Recognition section of the Management Administration page and select Budget.

3. Find the published budget you would like to pause, and click the Ellipsis button in the actions column.

4. Click Pause Budget

5.  When prompted, confirm you would like to pause the budget. 

Note: To resume a paused budget, click the Ellipsis button in the actions column and then click Resume Budget


How to Archive a Budget

A published budget can't be deleted, but it can be archived. If a budget is archived, all allocated points associated with the budget will be removed from users' balance. Unused points will be returned to the master budget and can be used in a new budget. All awards pending approval that would use points from the budget that is archived will be removed.

Archiving a budget does not affect points users have received from the budget, they are still able to be redeemed. 

To archive a budget, follow the steps below.

Note: Once a budget is archived, it can't be published again. 

1. Click Modules moduleButton menu and select Administration

2. Expand the Recognition section of the Management Administration page and select Budget.

3. Find the published budget you would like to archive, and click the Ellipsis button in the actions column.

4. Click Archive Budget.

5. Type "ARCHIVE" where prompted, then click Confirm & Archive. This can not be undone, so be sure you would like to archive this budget.
